Short answer
Yes, you can simultaneously stocktake and do online sales/transfers via Shopify as long as you do not physically remove items from your store or warehouse.
If you must do in-store POS sales or order fulfillments, please ensure you have used our app to count the products being sold/shipped before they are removed from your shelves (or keep a note of items being removed and add them to your stocktake).
Long answer
The app takes a snapshot of your Shopify available inventory and unfulfilled orders when you start a new stocktake. All updates are made as an adjustment to your inventory counts based on this snapshot.
For example, say “Product-A Size Small” has Shopify available stock of 5 when you start a new stocktake.
Scenario 1: If your physical count of “Product-A Size Small” is also 5, no adjustments are made in Shopify when you click “Update Inventory”. Any online/POS sales, fulfillments, or transfers are unaffected.
Scenario 2: If your physical count of “Product-A Size Small” is 6, then there is a mismatch between your stock and Shopify stock. The stock is incremented by 1 in Shopify when you click “Update Inventory”. Note that the app adds 1 to the Shopify stock instead of setting the stock count to 6. This ensures that if you get any online orders or goods transferred-in during a stocktake, your inventory is correctly updated.
If you physically remove items from your store during a stocktake the app has no way to figure out if you have already counted these items or partially counted them or if you are yet to count them. Please ensure you keep track of products being removed and add them to your stocktake or, if possible, use our app to count the items before they are removed.
We also email a discrepancy report to the store owner after an update. This report contains the list of products that had their Shopify available stock changed outside the Stock Take app. If you are unable to scan or keep track of products being sold via your POS, you can manually go through this discrepancy list and fix the stock for the products that have stock errors.
